  • Flexible Import/Export: Import prompts from images, text files, or CSV, and export your library for backups or sharing.

2. Licensing & Activation

PromptVault operates on a license-based model with a trial period.

  • Trial Period: When you first launch the application, you begin a 10-day free trial. During this time, you have access to all features. The remaining days of your trial are displayed in the window title.
  • Activation: To continue using the app after the trial, you must purchase and activate a license.
    1. Go to the Help > Purchase PromptVault License... menu to open the product page.
    2. After purchase, you will receive a license key.
    3. In the app, go to Help > Enter License Key....
    4. Enter the key to activate the full version of the software.
  • Offline Use: Once activated, PromptVault can be used without an internet connection for up to 30 days after the last successful online license verification. The app verifies your license automatically each time it starts with an active internet connection and resets the 30-day counter. After 30 days offline, an internet connection is required to re-verify the license before the app can be launched again.
  • License Status & Deactivation:
    • You can check the status of your active license under Help > Show License Status....
    • If you wish to move your license to another computer, you can free up an activation slot by selecting Help > Deactivate License on This Device.... The application will close and revert to trial/unlicensed mode.

3. The Main Interface

The main window is split into two primary sections: the Library Pane on the left and the Workspace Pane on the right.

3.1. The Library Pane (Left)

This is where you browse and find your saved prompts.

  • Search Bar: At the top, this bar allows for a full-text search of your prompt text and notes. Use an asterisk (*) as a wildcard for more flexible searches.
  • Filter Toolbar: A powerful set of tools to narrow down your list:
    • Sort by: Choose to sort your prompts by ID, Theme, or Rating. The arrow button (↓/↑) toggles between descending and ascending order.
    • Favorites only: Check this box to display only prompts you have marked as a favorite.
    • Filter by Theme: A dropdown menu to show prompts belonging to a specific theme.
    • Filter by Rating: A dropdown to filter by a specific star rating (e.g., 5 Stars, 4 Stars, Any Rating, No Rating).
    • Filter by Tags: Enter one or more comma-separated tags to find prompts containing all specified tags.
    • Reset Filters: A button to clear all active filters and searches.
  • Prompt List: This area displays the prompts that match your current search and filter criteria. Each item in the list shows the prompt's ID, theme, a snippet of the prompt text, and interactive controls:
    • Favorite Icon (♥): Click the heart to toggle the favorite status directly from the list.
    • Rating Stars (★): Click the stars to set or change the rating (1-5 stars) without needing to select the prompt.

3.2. The Workspace Pane (Right)

This is your primary area for creating, viewing, and editing prompts.

  • Top Toolbar:
    • New / Cancel: Creates a new, blank prompt entry. If you are already in "new" mode, this button acts as a "Cancel" button.
    • Save: Saves the current new prompt or any changes made to an existing one.
    • Delete: Permanently deletes the currently selected prompt and **physically deletes** all associated image files from your disk.
    • Undo ↩️: Reverts the last change made to any of the prompt's fields, including text, tags, notes, rating, or favorite status.
  • Details Area:
    • Image Preview: Displays the images associated with the prompt (up to 4 images are supported per record). Use the navigation buttons below the image to switch between them. Click the image to open it in a larger, resizable preview window. If no image is present, you can click this area to add one. For existing records, you can drag and drop additional images onto the preview area individually to add them. You can also click the + button below the image preview to open a file dialog and add further images to the current record.
    • Theme: The theme of your prompt. This field supports autocompletion based on your existing themes.
    • Tags: A comma-separated list of tags. This field also supports autocompletion.
    • Notes: A multi-line text field to add private notes, observations, or version info to your prompt. This field is also included in the full-text search.
    • Rating & Favorite: Large, clickable star and heart icons to set the rating and favorite status for the selected prompt.
  • Action Buttons:
    • Change Image: Replaces the current image.
    • Copy Image: Copies the image to your system clipboard.
    • Copy Prompt: Copies the main prompt text to your clipboard.
  • Prompt Editor: The main text box where your final, saved prompt is stored.
  • Prompt Lab: A second, larger text box designed as your creative sandbox. Use this area to experiment with prompt variations. The content here is saved along with the prompt but does not affect the main prompt text unless you choose to swap them.
  • AI Toolbar: Located below the Prompt Lab, this toolbar contains powerful AI-driven tools that operate on the text inside the Prompt Lab.
    • Enhance (✨): A dropdown menu and button to improve the lab text. You can choose to optimize for creativity, precision, conciseness, detail, and more.
    • Inspiration (🎲): Generates a list of 5 creative suggestions (like artistic styles or lighting effects) that you can add to your lab prompt to overcome creative blocks.
    • Translate (✨): Translates the lab text between English and German.
    • Swap (🔄): Swaps the entire text content between the main Prompt Editor and the Prompt Lab.
